Using the prescribed three-part pledge form, sponsor
should fill-out vital information including, name, address, phone
number and eMail address. The form includes white (top), yellow
(second), pink (bottom) sheets.
Additional forms are available at The Newtown Bee. (426-3141)
or locations listed below.
- 'Sponsors' must agree on donation amount he/she is willing
to pledge. This can be accomplished in two ways: A. Choose a
specific dollar amount for 'each run scored' by the Newtown Sandy
Hook Vintage Base Ball Club in the 2008 season or
B. Choose to make a direct donation to 'Hits for Harmon'.
This donation should be collected immediately by check.
- Solicitors should write their name and team name on each
completed pledge form.
The sponsor keeps the pink copy as proof of their pledge and
raffle claim check.
- All completed pledge forms (white and yellow copies attached)
will be delivered to the team program administrator or The Bee
'Hits for Harmon' administrator for safe keeping until the close
of the event.
- A pre-determined cut-off date will be determined and posted
in the Newtown Bee and on the 'Hits for Harmon' website.( http://vbbnewtown.com/hfh.htm
) On that date, administrator(s) will multiply the Total Runs
Scored by the dollars pledged and note the 'amount due' on each
pledge form.
- White copy of forms will be returned to solicitor with instructions
to collect their pledges.
- All pledges should be collected in CHECKS ONLY - No Cash (Made
out to 'Hits for Harmon, Harmon Family Fund'). If full pledged
amount cannot be collected, remind all solicitors that All Donations
Are Gratefully Received.
- Checks should be clipped to White copy of pledge form and returned
to administrator.
- Solicitors should THANK sponsors for their kind donation and
remind them their donations are not tax deductible. (Persons
should check with their accountant before taking a deduction.)
- Once solicitors collect pledges (checks only made out to 'Hits
for Harmon, Harmon Family Fund'), solicitor should return white
pledge forms marked PAID with attached checks to team Administrator.
- Team administrator will accumulate all checks and forms and
deliver them to Newtown Savings Bank (Main St. Office) where
Harmon Fund Account Administrator will deposit the donations
and place all white copies of paid sign-up forms into the 'prize
drawing pool'. A total running tally will be maintained by the
Account Administrator.
- A final cut-off date for Early Drawing is 8/14/08. All forms
must be received at the Newtown Bee by that date. Cut-off date
for final drawing is Labor Day 2008. All collections must be
made by this deadline in order for sponsors and solicitors to
be eligible for prize drawings.
- A special 'Hits for Harmon' tent will be set-up at the Labor
Day Parade as well as other predetermined drop-off locations
to collect donations and solicit additional donations. 'Hits
for Harmon' administrators and representatives will be available
during that day and the week following Labor Day to collect all
donations.
- A list of Grand Prizes will be determined through the course
of the season and drawings and drawing results will be posted
in The Bee. Grand prizewinners will be contacted by phone. An
interim drawing will be conducted on August 17th based on the
prize requirements.
- The 'Hits for Harmon' website will be maintained an Internet
presence, provide up-to-date information and a timely recap of
total runs scored, contact information, and information on critical
dates, prizes and special events relative to the program.
- Contact names and contact information will be provided to administrators
on website as the program develops. The Newtown Bee is the primary
source of information and program forms. Call 203-426-3141.
Grand Prize Drawings: On August 17 after the Waterbury
Connors match at McLaughlin Vineyards all pledged donations
will be collected and paid sponsors will become eligible for
a prize drawing of: Four seats plus Club passes and parking
pass to the Red Sox verses Yankees at old Yankee Stadium on August
28th. (Face value over $1,115!)
All non-winning forms will be returned to the Prize Pool
for the September Drawing.
On Labor Day weekend all remaining pledged donations
and paid sponsors will be eligible for a second prize drawing
including: Four seats plus parking to the last home stand
in old Yankees Stadium when the Yankees take on the Tampa Bay
Rays on Friday evening September 12th. (Face value
over $400!)
